Hops & Bubbles – Terms & Conditions of Equipment Hire

1. General

These Terms and Conditions apply to all equipment hire agreements between Hops & Bubbles (“the Company”) and the customer (“the Hirer”). By placing a booking or taking delivery of any hire equipment or products, the Hirer agrees to be bound by these terms.

2. Hire Period

The hire period begins when the equipment is collected or delivered and ends when it is returned to Hops & Bubbles or collected by us. Any extension to the hire period must be agreed in advance and may be subject to additional charges.

3. Payment and Deposits

A non-refundable booking deposit is required at the time of booking to secure your hire and event date. The remaining balance must be paid in full no later than two (2) weeks prior to the event, unless otherwise agreed in writing.

A refundable security deposit may also be required against loss, damage, or cleaning charges. This will be returned once all equipment has been inspected and confirmed in good condition after the hire period.

4. Delivery, Setup and Collection

Hops & Bubbles can deliver, install, and collect equipment by prior arrangement. Delivery and collection charges will be confirmed at the time of booking.

The Hirer must ensure clear access to the venue and provide a suitable area for setup. It is the Hirer’s responsibility to ensure the following are available prior to installation:

  • A safe and reliable electrical supply within two metres of the bar area.

  • A water supply suitable for filling coolers and related equipment.

  • A parking space for one vehicle within reasonable proximity to the setup area for unloading, installation, and collection.

If the event venue operates under specific health and safety, risk assessment, or access requirements, these must be supplied to Hops & Bubbles in writing at least four (4) weeks before the event date. This ensures our technicians can comply with all relevant site rules and safety protocols.

Once installed, the Hirer must not move, disconnect, or modify the equipment without prior approval from Hops & Bubbles.

5. Hirer’s Responsibilities

The Hirer is responsible for the equipment during the hire period and must:

  • Take reasonable care to prevent loss, theft, or damage.

  • Use the equipment only for its intended purpose and in a safe manner.

  • Ensure that only competent persons operate or handle the equipment.

  • Notify Hops & Bubbles immediately of any damage, malfunction, or safety issue.

The Hirer must not use the equipment for any unlawful purpose or in a way that could endanger persons or property.

6. Damage, Loss or Theft

The Hirer is liable for any loss or damage (including cosmetic or electrical damage) to the equipment during the hire period. Replacement or repair costs will be charged accordingly. If equipment is stolen or cannot be returned, the full replacement value will be payable.

7. Product Returns

Unbroached (unused) kegged products may be returned for a refund, subject to inspection and a 20% restocking fee. Products that have been broached, damaged, or are past their recommended return date cannot be refunded.

All returns must be agreed in advance and arranged within seven (7) days of the event. Refunds for approved returns will be made electronically within seven (7) days to the Hirer’s nominated bank account.

8. Safety and Compliance

All Hops & Bubbles equipment is tested and maintained in accordance with relevant safety standards. However, the Hirer is responsible for ensuring safe use during the event. Pressurised gas systems and electrical equipment must only be handled by qualified personnel or under our instruction.

Hops & Bubbles accepts no liability for injury or damage caused by misuse, alteration, or unauthorised relocation of equipment.

9. Cancellation

Cancellations must be made in writing. The booking deposit is non-refundable. Cancellations made within 14 days of the event will be subject to full payment unless otherwise agreed. Cancellations made with more than 14 days’ notice may be refunded at the discretion of Hops & Bubbles, minus any administrative costs.

10. Liability

Hops & Bubbles will not be liable for any indirect, consequential, or incidental loss or damage, including loss of profits or interruption of business. The Company’s total liability shall not exceed the total hire fee paid.

Nothing in these terms excludes liability for death or personal injury caused by negligence or for any other liability that cannot be excluded by law.

11. Force Majeure

Hops & Bubbles shall not be liable for failure to perform its obligations due to circumstances beyond its reasonable control, including adverse weather, equipment failure, illness, transport disruption, or supplier delays.

12. Governing Law

These Terms and Conditions are governed by and interpreted in accordance with the laws of England and Wales, and any disputes shall be subject to the exclusive jurisdiction of the English courts.
